Choose one admin task you can finish
Create a small inquiry tracker and define what you would hand over, using invented records.
A virtual assistant service starts with work someone can recognise and review. Organise my business is difficult to scope. Record ten inquiries, flag missing details and prepare a next-action list is a task with a visible finish. Begin with the second kind.
Choose one repeated task and write four things: the input you receive, the output you return, the person who approves it and what you cannot decide yourself. An assistant might organise a booking request, but cannot invent a booking time, quote a price or approve a refund without the owner's authority.
For this exercise, draw a table with six columns: Inquiry ID, Date received, Task requested, Status, Next action and Action owner. Use labels such as PRACTICE-01 rather than real names. Choose three statuses: Needs details, Ready for owner review and Closed. A status should explain where the work is, not imply a sale or confirmed booking.
Create five invented inquiries. Give each one a next action and an owner. For a request with a missing date, the next action can be ask for the desired date, while the action owner remains the business owner in this simulation. Put an unclear request in Needs details rather than guessing.
Now write the handover: what was organised, which records still need a decision and how to use the statuses. A good handover lets the owner continue without asking you to explain every row. This is a practice tracker; it does not require access to any real inbox or client account.
Worked example
Fictional example: Lina practises on inquiries for an invented photographer. PRACTICE-01 asks about a portrait session but gives no date. Lina records Needs details, next action Ask for preferred date, owner Photographer. PRACTICE-02 has the date and session type; she records Ready for owner review, next action Check availability and quote, owner Photographer. She does not mark it Booked.
Her service scope reads: I organise up to ten supplied inquiries into an agreed tracker and deliver a list of missing information. The owner confirms prices, availability and bookings. One review of the tracker is included. No real customer, inquiry or paid result is represented.
Your exercise
1. Choose an invented business and one admin task.
2. Write Input, Output, Approver and Decisions excluded.
3. Create the six-column tracker and five fictional rows.
4. Give every row a status, next action and action owner.
5. Write a three-sentence handover.
6. Ask yourself whether another person could continue from the tracker without guessing. Save your practice document.
